 The Opportunity

We are currently accepting applications for a brilliant, detail-oriented, resourceful person to provide administrative support in our front office.  Reporting to the Deputy Head of School, this individual will play a key role in the Front Office Team supporting operations and a variety of projects across the School. 

Service Excellence

-Advanced proficiency with software applications/programs
-Provide a high level of administrative support ensuring quality service and professionalism at every interaction
-Schedule and organize meetings, including preparation and co-ordination of facilities, calendar management, pre-mail preparation, arranging required equipment, refreshments, etc., as required

-Exhibit attention to professional dress, exemplary manners and general etiquette.
-Efficiently manage and promptly respond to all incoming enquiries/requests for information independently or re-direct to the appropriate person/area.

Operational Effectiveness

-Highly resourceful, pro-active and organized
-Must be able to manage multiple tasks under tight timeframes, and be a self-starter who is able to work both independently and function well within a team
-Provide proactive, accurate, organized and efficient administrative support; schedule and organize meetings, manage calendars, create and maintain files, and perform other assignments as required.
-Consistently exercise discretion in managing correspondence, information and all matters of confidentiality; escalate issues where appropriate.
-Prioritize and manage own workflow to ensure quality and efficiency (ie. meet deadlines; be flexible in adjusting to changing work priorities).
-Efficiently manage expectations/concerns through strong communication skills, both verbal and written.
-Take initiative to identify and recommend improvements in own job function, research and/or investigate issues requiring resolution in order to execute on assigned tasks.

Teamwork/Support

-Be an effective resource and flexible in adjusting to changing work priorities.
-Participate fully as a member of a team and contribute to a positive work environment.
-Support the team by continuously developing knowledge in own area.

Qualifications/Skills/Experience

-Advanced skills in Microsoft Office suite and technical capability is essential
-Previous experience as an Executive Assistant would be an asset

-Strong ability to work independently and operate in a proactive and resourceful manner
-Strong relationship building skills are essential to the role

-Ability to act with tact and discretion

-Impeccable attention to detail and accuracy

-Positive and customer focused attitude

Our ideal candidate will have a minimum of 3 years administrative experience in a high volume environment, strong organization and analytical skills and be fluent in spoken and written English.  Mandarin speaking will be considered an asset.

Please note, to qualify for this role you must be willing to participate in a criminal background check. This is a full time, year round position.
